1. Information We Collect
We collect the following types of information to provide and improve our service:
- Account information: Name, email address, and role (admin or teacher) when you register.
- School data: School name, school code, and associated configuration created by admin users.
- Student data: Student names, roll numbers, class, section, and other fields imported via Excel by school administrators.
- Student photos: Profile photographs uploaded by teachers through the mobile app for ID card generation.
- Usage data: Log data, device information, and interaction patterns used to diagnose issues and improve the app.
- Device information: Device type, operating system version, and app version collected for crash reporting and support.
2. How We Use Your Information
We use the collected information for the following purposes:
- To provide, operate, and maintain the Quick ID Card platform.
- To generate and export student ID cards as requested by administrators.
- To authenticate users and enforce role-based access control.
- To diagnose technical issues, fix bugs, and improve app performance.
- To send essential service notifications (e.g., account verification, security alerts).
- To respond to your support requests and inquiries.
3. Data Storage & Security
Your data is stored on secure servers. We implement industry-standard security measures including encryption in transit (TLS) and at rest to protect your information. Student photos are stored on the server under school-scoped directories and are only accessible to authenticated users with the appropriate role.
Optional security measures available to users include strong passwords and secure credential management. We recommend all users keep their credentials confidential.
4. Data Sharing
We do not sell, rent, or trade your personal information or student data to any third party. We may share data only in the following limited circumstances:
- With service providers who assist in operating our platform (e.g., hosting), under strict confidentiality obligations.
- When required by law, court order, or governmental authority.
- To protect the rights, property, or safety of Quick ID Card, our users, or the public.
Only anonymized, aggregated usage statistics may be shared with analytics partners — never individually identifiable data.
5. Student Data & FERPA Compliance
Quick ID Card handles student data on behalf of schools (as a data processor). Schools are responsible for ensuring they have appropriate authority to upload and process student data through our platform. We do not use student data for any purpose other than providing the ID card service to the school.
6. Third-Party Services
We may use third-party services for crash reporting, analytics, and infrastructure. These services have their own privacy policies, and we encourage you to review them. We ensure any third-party service we use meets our data protection standards.
7. Data Retention & Deletion
Student data and photos are retained for as long as your school account is active. Deleted students and their associated photos are permanently removed from our servers. Upon account deletion, all associated school and student data is permanently purged within 30 days.
8. Children's Privacy
Quick ID Card processes student data on behalf of schools for the limited purpose of ID card generation. We do not knowingly collect personal information directly from children under the age of 13. Schools are responsible for obtaining necessary parental consents for student data under applicable laws.
9. Your Rights
As a user of Quick ID Card, you have the right to:
- Access the personal data we hold about you or your students.
- Correct inaccurate data via the admin dashboard.
- Delete student records and associated photos at any time.
- Export student data in supported formats.
- Request full account and data deletion by contacting us.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify users of significant changes via in-app notification or email. Continued use of Quick ID Card after any changes constitutes acceptance of the updated policy.
